Capabilities & system design
What Clear automates — and exactly how.
Built so a fleet owner and their IT person both get it: the outcomes, the mechanism, what it connects to, and what runs on its own versus what you approve. We stand each capability up during onboarding (1–4 weeks) — nothing here is a magic switch.

Capabilities
The same catalog that runs inside the product — outcome first.
Driver document intake
Driver files build themselves from a photo — audit-ready, no data entry.
How it works
- Read the image and pull the fields (name, DOB, license #, class, state, expiry).
- Propose a driver record and a matching QuickBooks vendor.
- Show you the extracted fields over the image to confirm or edit.
- Save to the driver qualification file and set an expiry reminder.
Needs
Inbox access
Insurance COI intake
Insurance never lapses silently; COIs filed with expiry reminders.
How it works
- Read the COI and pull carrier, policy #, coverage, and expiry.
- Match it to the right driver / unit / authority.
- File it to the compliance record.
- Set an expiry reminder so nothing lapses silently.
Needs
Inbox access
BOL / POD capture
Billing pulls the POD instantly; nothing waits on a driver's photo roll.
How it works
- Read the document and pull load #, shipper, consignee, dates, signatures.
- Match it to the open load.
- Attach it to the load record so billing can pull it instantly.
Needs
Inbox / upload
New-load setup
Booked loads become complete records with timers queued.
How it works
- Create the load record from the rate con.
- Attach the broker, lane, rate, and appointment windows.
- Queue the check-call and detention timers.
Needs
—
Check-call reminders
Brokers stay happy — check-calls never slip.
How it works
- Track each load’s required check-call cadence.
- Remind the right person before it’s late.
- Log the check-call to the load’s paper trail.
Needs
—
Detention alerts
Detention caught the moment it starts, with the timestamps as proof.
How it works
- Timestamp arrival and watch against the free-time window.
- Alert you the moment detention starts accruing.
- Build the detention claim with the timestamps as proof.
Needs
ELD / telematics
Send rate confirmation to broker
Rate cons sent the moment you book — and you approve before they go.
How it works
- Pull the load + broker details from the load record.
- Fill the rate confirmation and attach the signed copy.
- Draft the email to the broker (you see it before it goes in Review mode).
- Send, and log it to the load’s paper trail.
Needs
Email + load record
Send invoice + factoring packet
Invoices + factoring packets out the door automatically; cash comes faster.
How it works
- Assemble the invoice from the rate con and load record.
- Bundle the POD, BOL, and rate con into the factoring packet.
- Draft the submission to your factoring company / the broker.
- Submit and record the receivable in QuickBooks.
Needs
QuickBooks + factoring details
Receipt & fuel capture
Receipts and fuel booked straight to QuickBooks — no shoebox.
How it works
- Read the receipt and pull vendor, date, amount, category.
- Propose the QuickBooks expense + category.
- Book it (you confirm in Review mode).
Needs
QuickBooks
How it fits your stack
The data flow
Your systems → Clear watches them 24/7 → the next move, with the dollars attached. Clear reads what comes in (documents, ELD, fuel), proposes the action, and logs everything it did.
Integrations
ELD/telematics: Motive, Samsara, Geotab. Accounting: QuickBooks. Fuel: WEX/Comdata. Freight: load boards & brokers. Clear sits on top — you keep the gear you run.
Automated vs. you-approve
Every automation has three modes you control: Auto — fires automatically on its trigger. Review — drafts it, then waits for you to approve, edit, or discard. Off — won't run. clear leaves it alone. Anything that leaves the building (an email, a submission) shows you the draft first in Review.
Documents & data handling
Documents are read (OCR), the extracted fields are shown for you to confirm or edit, then written to the right place (driver file, load, QuickBooks). Your data stays yours — encrypted in transit and at rest, not sold.
